Philanthropy Associate

Title: Philanthropy Associate

Department: Philanthropy
Reports to: Director of Philanthropy

Overall responsibility:  The Philanthropy Associate is responsible for creating and maintaining accurate donor and gift records using the Goldmine Database System, and Microsoft office Products, working closely with the Accounting Department.  The Philanthropy Associate will support the Philanthropy Department with all administrative aspects of philanthropy, public relations and fundraising activities.  Primary responsibilities include managing the donor records in tracking, communication, and acknowledgement procedures.

Key areas of responsibilities:

  • Process all donations, pledge payments and pledges into the credit card payment system, the client database and donor excel spreadsheets
  • Prepare acknowledgement letters and other correspondence to donors
  • Maintain foundation, corporation and individual donor files
  • Assist in the creation and maintenance of monthly, quarterly and annual financial spreadsheets and other database reports as needed
  • Provide excellent customer service
  • Continually update and correct database records
  • Track and update expired credit cards with emails and phone calls
  • Prepare media materials for distribution. (i.e. copying, filing, mailing, e-mailing)
  • Assemble media and donor kits for monthly stewardship, planned events and meetings
  • Assist with the Philanthropy Presentation and solicitation
  • Provide ideas to attract new donors and expand donor base
  • Understands all of the organization product and service offerings
  • In-Person Registration Assistance
  • Other duties as assigned.

Qualifications:

  • Bachelor’s degree in development, sales, or related field preferred
  • Minimum of three years’ experience in an administrative, customer service, or sales position, preferably in a not-for-profit development or philanthropy office
  • Proficiency in Microsoft Office: Word, Excel, Outlook
  • Proficiency in Goldmine or other CRM database experience essential
  • Excellent verbal and written communications skills
  • Ability to organize and prioritize work required
  • Ability to work independently or as part of a team
  • Excellent interpersonal skills required
  • Detail oriented
  • Familiar with basic accounting practices
